By completing your reservation and making the required prepayment, you acknowledge that you have read, understood, and agreed to these Booking Terms and Conditions.

Please review your booking confirmation upon receipt. Unless the hotel is notified in writing of any discrepancies within twenty-four (24) hours, the reservation details shall be deemed correct and accepted.

If you make a reservation on behalf of another person or use another person’s payment method, you confirm that you are authorized to do so and to accept these Booking Terms and Conditions on their behalf. The hotel may request a completed Credit Card Authorization Form and supporting documentation for verification purposes.

References to “you”, “your”, or “guest” include the person making the reservation and all guests covered by the booking.

The Theodore Hanoi reserves the right to amend these Booking Terms and Conditions from time to time. Unless otherwise required by applicable law, any amendments shall apply only to reservations confirmed after the revised Terms and Conditions take effect.

All rates are quoted in Vietnamese Dong (VND). Rates displayed in other currencies are provided for reference only and are subject to the prevailing exchange rate. Unless otherwise expressly stated in the applicable promotional offer or rate conditions, room rates are quoted per room, per night, and not per person.

Final total booking cost is inclusive of 5% service charges and applicable government tax.

Rates are dynamic and subject to business demand, seasonal variations, and the calendar year, based on the check-in date.

Surcharges may apply during public holidays, festive periods, or peak seasons for all guests. Such surcharges may not be included in the initially quoted rate and will be communicated separately for acknowledgement and payment.

• Check-in time: From 2:00 PM (14:00)
• Check-out time: By 12:00 PM (12:00)

Early check-in and late check-out are subject to availability and may incur additional charges. Please contact the hotel in advance for further assistance.

Smoking is strictly prohibited throughout the hotel premises. A deep-cleaning fee will be applied for any violation of this policy.

A valid credit card is required at the time of booking. The same credit card must be presented upon check-in for verification.

The Theodore Hanoi reserves the right to cancel any reservation without prior notice if any payment associated with the reservation is found to be fraudulent, unauthorized, or otherwise unlawful.

Payments may be made by bank transfer, credit card, or cash. Any fees or charges incurred in connection with the payment, including bank transfer and payment processing fees, shall be borne by the guest or booking agent.

Incidental Deposit at Check-in:

Upon arrival, guests are required to provide a refundable security deposit of VND 2,000,000 by cash or credit card pre-authorization to cover any incidental charges or damages incurred during the stay. The deposit will be released or refunded upon departure following completion of the room inspection and settlement of any outstanding charges. Please note that credit card pre-authorization may take several business days to be released by the issuing bank.

• Adult Rate

The adult rate applies to guests aged twelve (12) years and above.

• Children Policy (0–11 years)

A maximum of two (2) children is permitted per room.

Children aged 0–11 years: One (1) child may stay complimentary when sharing existing bedding. Additional children are subject to an extra child surcharge in accordance with the hotel’s policy. Such charges may not be reflected in the room rate at the time of booking and, where applicable, will be collected upon arrival. The hotel’s Reservations Team may contact you prior to arrival to confirm the applicable charges.

Extra beds are available upon request, subject to availability and additional charges.

Cancellation and amendment policies vary by rate plan. Guests are advised to review the applicable rate conditions carefully before completing their reservation.

For health-related cases, a valid medical certificate is required for consideration of modification requests.

No-shows are fully chargeable and non-refundable. Any request for a waiver or amendment will be reviewed and considered at the sole discretion of the hotel.

Upon confirmation of your reservation and fulfilment of the applicable booking requirements, a confirmation email will be sent to the email address provided during the booking process.

The Theodore Hanoi shall not be responsible for any failure to perform its obligations due to any loss, injury, damage, force majeure or circumstances beyond its reasonable control. Guests are encouraged to obtain appropriate travel insurance for unforeseen circumstances.

Guests are responsible for any loss, damage, or additional cleaning charges incurred during their stay. The hotel reserves the right to charge the applicable amount to the guest’s credit card or deduct it from the incidental deposit.

Guests are strongly encouraged to obtain suitable travel insurance prior to their journey to cover unforeseen circumstances, including medical expenses, personal accidents, emergency assistance, and personal liability.

Should you experience any concerns during your stay, please contact the hotel’s Duty Manager immediately so we may assist in resolving the matter. Any loss or damage to personal belongings should be reported to the hotel as soon as possible. For unresolved concerns, please contact Guest Experience Manager at guest@thetheodorehanoi.com within two (2) days of departure with your booking reference and relevant details.
